We are looking for an Administrative Assistant to be responsible for office operations and upkeep, mail distribution, requisition of supplies as well as additional clerical duties. This position will be contract and onsite.
What Youll Do
Assist with daily administrative operations as directed by the Department.
Answer and re-direct calls on a multi-line phone system as directed by the Department.
Sort and distribute (internal and external) mail as directed by the Department.
Greet and assist visitors in finding the correct destination as directed by the Department.
Ensures compliance with policies and procedures.
Assists the Executive Assistant in coordinating daily operational functions within the Division.
Coordinates, reviews, edits, and formats outgoing correspondence.
Drafts, formats, and completes routine memos and letter within established timeframes.
Coordinates travel arrangements, prepares itineraries, prepares, and submits travel reimbursements for the staff.
What You'll Need
Required:
Ability to speak and understand English.
Must have High School Diploma or equivalent.
2+ years of experience working with the public in a professional business office.
1+ years of experience answering multi-line phones.
3+ years of experience using Microsoft Outlook, Excel, Word, and Power Point
1+ years of experience sorting and distributing internal mail.
1+ years of experience with professional business letters, emails, and communications
Preferred:
Experience coordinating meetings, preparation of agendas and conference calls.
Experience coordinating travel arrangements and travel reimbursements.
Physical Demands
Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state, and local standards.
Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor.
