    Job Summary:

    The Lead Administrative Assistant performs a wide range of administrative and general support duties of a highly responsible and confidential nature for department leadership under general direction. The incumbent will make continuous use of technical and business vocabulary and a detailed knowledge of company operations, organizational procedures and personnel policies. Within established guidelines, makes independent decisions regarding planning, organizing and scheduling own work. Composes routine correspondence prepares reports and makes appointments and travel arrangements. The incumbent may prepare special reports or memoranda for superiors.

    Job Responsibilities:
    • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications.
    • Responsible for preparing and reviewing operational reports, passing information to appropriate personnel and ensuring the security of the information within the department.
    • Researches and tracks routine and non-routine information. May need to obtain the information from a variety of sources and be responsible for information of a sensitive or confidential nature.
    • Assists managers in compiling annual budget information and reports. Additionally, will gather data on specific accounts and analyze previous spending patterns to make recommendations for the next budget period ensuring appropriate funds are placed within the budget.
    • Performs basic analysis to ensure data conforms to CF standards
    • Identifies opportunities to improve department policies or objectives
    • Maintains all departmental policies and procedures manuals
    • Provides administrative support in managing and maintaining all department databases
    • Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary.
    • Oversees the work of other departmental administrative staff and delegates tasks as appropriate
    • Develops strong relationships with cross-functional teams and departments
    • Critically reviews the budget throughout the year, including reviewing, logging and or processing incoming invoices to ensure billing is done correctly. Identifies variances from the budget and researches cause for variances.
    • Prepares travel reservations and itineraries. Coordinates superiors/department members' appointments.
    • Other duties as assigned.


    Internal Controls:

    Understands and complies with established departmental processes and procedures designed to support internal controls efforts. Identifies and brings to the attention of department management internal controls deficiencies.

    Successful incumbents will have:
    • High School Diploma or equivalent education is required with some additional education in general business support areas such as Accounting preferred
    • 3+ years of administrative support experience required
    • Must be able to maintain the highest level of confidentiality
    • High degree of proficiency in MS Office Suite, Outlook & SharePoint and overall affinity and interest in new technology
    • Ability to adapt well to change in direction and priority in a fast- paced environment
    • Self-motivated with critical attention to detail and deadlines
    • Excellent organizational, time management and leadership skills
    • Strong, professional and effective verbal and written communication skills
    • Strong analytical and financial skills
    • Ability to work for and take direction from multiple individuals in middle management


    Position Scope/Contribution:

    Scope of work is typically across multiple work areas or processes. Impact is generally limited to the functional areas supported. Workload is steady and routine, sometimes involves coordination with others to ensure duties are fulfilled. Interaction with others is mostly routine, but of a somewhat more complex nature than previous level. May support complex problem-solving of a new or innovative situation. Refers non-routine issues to immediate supervisor; prioritizes daily activities but acts within established parameters; and may be cross-trained to act as back-up support for another area. Has interaction with selected personnel outside of the department. Mainly works with mid-level management personnel.
