    Compensation: $80,000 - $89,750/ per year depending upon the level of experience

    Essential Functions and Responsibilities:

    • Manage the comprehensive administrative function for the corporate office including opening and closing the office, interfacing with clients and staff, overseeing office vendors, handling and processing mail, and ensuring the maintenance of office aesthetics.
    • Manage and make improvements on Colossal financial processes including budgeting and other assigned duties.
    • Conduct financial and data analysis of Colossal accounting functions for the President of the organization.
    • Independently offer insights on monthly spending and suggest cost-saving solutions when possible.
    • Contribute to the preparation of the detailed annual financial budget and monthly forecasts with attention to detail.
    • Manage the companys accounts payable, encompassing the processing of invoices, meticulous recording of essential information (company, date, amount, etc.), appropriate coding of invoices to the respective department, and timely submission of invoices to
      corporate for payment.
    • Provide administrative support to all employees as needed, such as assisting the sales department in contract preparation, addressing collections inquiries, furnishing invoice copies, and assisting operations employees with payroll, etc.
    • Provide information, including compensation, to corporate departments (Payroll, Human Resources, Credit Department, Accounts Payable, Accounts Receivable, etc.) as needed with Operations and Executive Administration.
    • Facilitate communications and decision-making on behalf of the President when needed and appropriate.
    • Manage expense reports and train staff on the expense reporting systems.
    • Effectively oversee and manage projects initiated through collaboration among department heads including the establishment of objectives and budgets.
    • Implement and collaborate on any special requests/projects with the President and Department Heads.
    • Own vendor contact database.
    • Manage several internal employee databases and platforms ensuring timely updates and maintenance of staff information.
    • Serve as a liaison between staff and third-party IT, overseeing the retainer and managing the overall relationship.
    • Serve function as Notary Public.
    • Promote the Colossal culture through staff milestones, events, and daily acts that create a superior Colossal experience.
    • Support project managers in planning staff and client events; Owning all administrative tasks associated with vendors, site setup, and breakdown

    Requirements:

    Knowledge, Skill, and Ability

    • Ability to work beyond typical corporate hours checking emails on behalf of the President including some evenings and weekends.
    • Must possess effective supervisory skills such as excellent communication, listening, problem-solving, and a proactive approach to potential issues.
    • Requires an excellent command of the English language, both written and verbal.
    • Skill in speaking with persons of various social, cultural, economic, and educational backgrounds.
    • Requires continual attention to detail in composing, typing, and proofing materials, establishing priorities, and meeting deadlines.
    • Strong work ethic someone who takes great pride in professionalism, and responsibility, and is proactive.
    • Must be able to work independently and as a team member.
    • Must possess proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
    • Ability to use fax machines, copiers, scanners, and binding machines.
    • This position requires the ability to handle different challenges each day and adequately prioritize those demands.

    Education and Experience

    • High School Diploma or Equivalent is required.
    • A college degree in Business or a related field is preferred.
    • To qualify for this position, two out of the five qualifications must be met:
      1. Experience in billing over $11 million.
      2. Experience managing offices containing 16+ employees
      3. Must be cross-trained in Sales, Operations, and Real Estate.
      4. 4 years of experience in outdoor advertising is required.
      5. In lieu of experience, a college degree or 6 years of applicable experience in an office environment will be accepted, or another equivalent combination of education and experience.

    Physical Demands and Work Environment

    • The primary work environment for this position is an office. This is not a remote role and requires being in the Brooklyn office daily.
    • The physical demands for this position include light lifting, seeing (with a focus on reading, acuity, and depth perception), and talking.
