    Conference Services Manager

    Unit Description:

    Sodexo Corporate Services is looking for a remote Conference Services Managerto join our team at Sanofi Conference Team!

    This conference center role will be responsible for organizing, planning and execution of on and off site conference services operations. We are seeking a positive and well-organized individual who is passionate about superlative customer service and can deliver a meeting experience that exceeds our clients expectations. We are seeking a sourcing and contract matter expert, who is knowledgeable of contract language, and the food and beverage industry. This position requires 25-30% travel to units both in the US and internationally for various off site events.

    Responsibilities:

    • Independently provide consultative guidance to US and Global based clients to define, develop, execute, and manage the planning process to achieve meeting goals and expectations.
    • Provides leadership and recommends/advises client of all meeting required venue, logistics and services to ensure a successful outcome to the event
    • This can include but not limited to, audiovisual management, registration and attendance management, cost proposals, budget reconciliations, timelines, program and follow-up
    • Manages and monitors meeting budget and reporting
    • Manages post-event activities that include invoice management and program evaluation from the event delivery perspective.
    • Ability to be work independently
    • Accountable for risk management associated with ensuring all aspects of meeting logistics are in compliance with the companys policies.
    • Negotiates all meeting venue related contract terms and conditions to minimize risk to the stakeholders
    • Provides meeting planning best practice training for administrative assistants responsible for planning and coordinating travel and local meetings.
    • Support special projects to support the overall team service strategy, as requested.
    • Independently supervise and manage vendors to complete tasks related to project. This position may act as the full-service planner
    • Highly organized with the ability to manage ongoing conflicting workload demands of both planned and short lead time requests in a fast-paced environment
    • Knowledge of catering, room and event management systems required. Experience in large scale, multi-day event production preferred.
    • Strong knowledge of MS Office.
    • Has a cost savings goal of 5-7% monthly for client meetings.
    • Understanding of HCP requirements is a plus.
    • CVENT experience preferred.
    • Could include traveling overnight up to 35%.

    Other Responsibilities:

    • Virtual meeting planning responsibility
    • This position requires a candidate that will constantly strive to foster a culture of hospitality and find new and innovative methods to enhance the client meeting and event experience.
    • This person needs to be able to plan, organize, and direct multiple services when orchestrating a meeting onsite such as conference services set-up and room set-up, catering, and AV services.

    EDUCATION AND SKILLS:

    Required:

    • Associates degree with a minimum of 3-5 years of professional meeting planning experience in a corporate and/or service provider environment

    Preferred:

    • Pharmaceutical meeting planning experience highly desirable.
    • Advanced Proficiency in Cvent, Zoom, Teams and Outlook Technology

    ADDITIONAL INFORMATION:

    • Physical Demands: Ability to lift up to 25 lb boxes and be able to be on your feet for long periods of time
    • Travel Requirements: 20%-25% overnight travel including International destinations; must be able to work flexible hours including occasionally weekends and evenings. Ability to drive or fly to various meetings. Passport or passport attainability required.
