    Senior Administrative Assistant

    Overview:

    The FCB Equipment Finance Group, based in Portsmouth, NH, provides finance solutions to thousands of small businesses, across various industries, nationwide. We build deep partnerships with Business Clients and Vendor Partners by providing value-added finance solutions designed to grow sales, profitability, and loyalty.

    This position performs a wide range of administrative and staff support duties at an advanced complexity level. Coordinates special projects for a department, including reporting, budget monitoring, and developing timelines and meeting agendas. Enhances workflow by assisting with documentation, communication, and scheduling. Interfaces with all levels of leadership and associates within assigned business unit and may have direct client contact. Receives and responds to correspondence. Prepares reports, maintains files, and performs other duties as related to administration. Acts as a department liaison or resource through knowledge of daily operations.

    Responsibilities:
    • Coordinate and set up meetings including gathering and preparing agenda/materials and arranging logistics.
    • Ensure client relationship is maintained at the highest possible level. Liaison between the Senior Vice President, his clients, internal employees, and vendors.
    • Assist with the preparation of clear and concise memos, letters, presentations, and reports, with minimal direction, for internal and external distribution.
    • Manage incoming phone calls, internal and external, as well as incoming and outgoing mail.
    • Schedule appointments and maintain calendar for Senior Vice President, including making travel and hotel arrangements which requires independent decision making and judgement.
    • Copying, electronic filing/organizing and distribution of various reports and documents.
    • Create and submit expense reports, sponsorship requests, and check requisitions.
    • Create and maintain client and prospect contact lists.
    • Complete calendar management, including the arrangement/ administrate all travel and preparation/submission of expense reports.
    • Assist with interview scheduling, onboarding, and integration of new hires.
    Qualifications:

    Basic Qualifications:

    • High School diploma and 3 years of experience in Administration

    Preferred Qualifications:

    • Experience as an Executive Assistant.
    • Excellent written and verbal communication skills.
    • Proven ability to provide an exceptional level of client service.
    • High attention to detail with accuracy.
    • Demonstrated ability to handle sensitive information and maintain confidentiality.
    • Strong organizational and problem-solving skills.
    • Advanced technical skills, with a demonstrated, exceptional level of proficiency in utilizing the Microsoft Power Point, Excel, and Word applications.
