    Executive Administrator

    Overview:

    The Executive Administrator will provide high-level administrative support to the Chief Executive Officer and Chief Human Resources Officer. This position coordinates extensive travel plans, manages executive schedules, communications, and meetings. The ideal candidate will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities while using a high level of confidentiality and discretion.

    Responsibilities:
    • Coordinate extensive travel plans, manages executives schedules, communications, and meetings.
      • Manage daily calendars, including scheduling meetings, appointments, and special events.
      • Responsible for making and maintaining all travel arrangements. This includes flights, accommodations, transportation, and other logistics.
      • Act as liaison between the executives and other members of the organization, as well as external contacts. This includes answering emails, calls, and drafting correspondence.
      • Prepares outgoing mail, shipments, etc. including special handling requirements such as overnight delivery.
    • Provide clerical assistance, assistance with project activities, administrative support, and project planning.
      • Oversee and coordinate special projects and initiatives as assigned by leader, including arranging facilities and equipment, tracking progress, managing timelines, and communicating updates.
      • Prepares letters, memoranda, presentation decks, and reports - some of which may be of a confidential nature
      • Extensive interaction with suppliers and partners required in connection with meeting and event planning.
      • Maintains records and files, including highly confidential files and documents.
      • Works as the lead in providing guidance to other administrative personnel to accomplish organizational goals.
    • Collaborate with the Executive Assistants across BBG to ensure alignment of business practices.
    • Other duties, as assigned by the jobholders supervisor, may also be required.
    Qualifications:
    • Bachelors degree in business administration, communications and/or equivalent training and work experience
    • Minimum of 7 years experience in administrative position with similar responsibilities supporting multiple Executives
    • Advanced proficiency in MS Office suites
    • Must be a results-oriented professional with verbal/written communication skills using diplomacy and discretion as well as customer service skills
    • Strong leadership, organizational, communication, and time management skills
    • Analytic and Reporting skills
    • Ability to work in fast-paced, high-volume, team environment
    • Flexible hours as dictated by the needs of the business

    Physical Requirements:

    • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone

    Competencies:

    • May help coordinate the work of junior members of the team.
    • Resolves issues which are often varied and non-routine. Undertakes analysis and investigation to solve issues.
