The Administrative Team is the heart of our organization; ensuring that business operations and activities keep moving forward and our studio team is supported and engaged. We’re looking for a skilled, energetic, and proactive Business Administrator to join our team. The successful candidate will possess interpersonal, organizational and event planning skills, the ability to anticipate needs, a keen eye for detail and a willingness to support organizational growth and health. Key Responsibilities: Typical Day

  • Support the day-to-day operations to ensure the Studio is run smoothly and staff are supported
  • Execute the planning, coordination and logistical support for onsite and virtual hybrid meetings/events including studio wide meetings, team training and morale events
  • Support the Senior leadership team with calendar management, travel bookings and timely and accurate reconciliation of expenses
  • Partner closely with the Facilities team to continuously improve the physical work environment
  • Assist with floorplan and studio moves, seating charts maintenance and distribution and security group ownership and management
  • Support the External Development manager with the creation and submission of contracts, statements of work and amendments within the procurement system
  • Ensure compliance with administrative operations policies and procedures
  • Collaborate with the Talent and Culture Team to welcome and support new hires for an unforgettable onboarding experience
  • Plan and execute studio social events and holiday celebrations in accordance with the rhythm of business (ROB) calendar to promote studio culture, values and increase employee morale
  • Help drive the Social Committee, promoting a culture of collaboration and partnership to bring social events and occasions to life
  • Manage the studio swag program by keeping a pulse on inventory, sourcing items, preparing proposals, promotion and shipping logistics
  • Keep a pulse on relevant employee experience trends and events to gather and provide insight for future studio opportunities

Qualifications: 

  • 3+ years of experience in administration, executive administration, coordinator or program management type role
  • Strong experience in event planning and and/or organizing team-building activities
  • Excellent interpersonal relationship building and communication skills with the ability to maintain confidentiality of information
  • Ability to prioritize work, anticipate and adapt to challenges and complete projects on time
  • Strong customer service orientation, self-directed, positive outlook
  • Must be adaptable and work successfully in a team environment, building and maintaining effective working relationships with a diverse group of contributors internally and externally
  • Occasional work after core-hours and evening events
  • Candidates must have the ability to lift/move up to 30 pounds

The target hiring compensation range for this role is $30 to $34/hr. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
