Title:Advance Office Clerk Location: BAMC (San Antonio, TX) Clearance:Public Trust Clearance or above preferred. A Public Trust Clearance is not required day one but will be processed and therefore must be a US Citizen able to obtain a clearance. Summary: Provide reception and administrative support in non-direct patient care areas, serving in the roles of Work Order Clerk, TMDE Coordinator, and Supply Parts Clerk. Customer and BES service-oriented duties that require telephonic, face-to-face, email, etc. communication. Accepting only clean/decontaminated MDE into the BES shop. Receive MDE work requests telephonically and/or in person and enter appropriately in the APSR. Maintain APSR work order register; assign/issue MDE to the appropriate team’s inbox; notify, issue, and return MDE back to the customer. The PC retrieves MDE. Verify work order information elements are accurate and align with the equipment record. Ensure the Maintenance Expenditure Limit, Date in Service, Life Expectancy, Location, and Warranty/Contract Data are listed and correct. Retrieve, modify and create maintenance/equipment life cycle queries using designated business software in APSR to generate various management reports. Ensure all required reports are completed, reviewed/approved and forwarded to the appropriate activity as required. Update internal documents and rosters as required by the NCOIC. Reconcile the warranty service report monthly. Purge the warranty file of all expired items. Ensure that a warranty file is established and maintained for all new MDE received. Review open unscheduled work orders to identify MDE under warranty over 30 days old. Send monthly SPM notifications for the following month. Request read receipts and save the emails (to include read receipts) in the shared drive by the 15th of the month. Send UL Register to customers by the 21st calendar day, or first working day thereafter, of the month. Maintain BES disinfection station supplies. Pick up boxes/parts from the warehouse. Receive and issue parts to BMETs and SAs within allotted timeframe. Stock and inventory excess parts and update records in the APSR. Identify supply stock beyond “use dates” and prepare/send for disposition. Issue, receive, and maintain inventory of tools and TMDE. Stock and maintain inventory of supply parts. Requirements: High school graduate or equivalent. Minimum of six (6) months experience clerical, inventory, and parts supply tasks. Knowledge, Skills and Abilities: Detail oriented and able to effectively manage time. Able to inventory, ship, receive, and issue MDE, parts and supplies, to include standard office supplies as well as MDE parts and accessories. Knowledge and skill in using standard Microsoft operating systems, Microsoft Office suite of products for Office Automation, and administrative and clinical software products currently in use at BAMC. Ability to maintain accurate records of repairs, calibration, and tests. Understand and comply with TJC and other applicable standards and regulations. Ability to lift up to 50 pounds of equipment; to push/pull equipment carts; and to kneel, stand, bend, and reach during MDE retrieval, document filing, and processing of supply. Skilled in effective communications verbally and in writing, accurately and completely document MDE information in APSR. Able to communicate with clinical staff and provide assistance. Duty Location: Brooke Army Medical Center (BAMC) to include other areas of responsibilities at JBSA, Fort Sam Houston, Texas, and outlying areas TBD. (i.e. Corpus, Christie, Houston, Camp Bullis, Schertz, etc…) Predominately work is located on site at BAMC.
