Job Description:

The Payroll Lead is a key member of the People & Culture department who leads, oversees, and directs the organization’s in-house payroll processing and corresponding procedures, ensuring compliance with all laws and tax obligations. The Payroll Lead is responsible for maintaining accurate payroll records. This individual is responsible for the completion of the payroll journal entry and ensures that the general ledger accurately reflects the payroll and reporting of all federal, state, and local payroll taxes.

Key Accountabilities:

  • Supervise and lead the accurate and timely completion of the company’s payroll processing of 15,000+ field hourly and salaried team members. Payroll processing occurs weekly, bi-weekly, and semi-monthly.

  • Manage multi-state payroll processing for team members at more than 250 locations, in 43 states.
  • Oversee the full lifecycle of payroll operations.
  • Implement best practices to streamline payroll processes and improve efficiency.
  • Provide guidance and support to the Payroll Administrators who manage many of the day-to-day tasks, including pay concerns raised by team members and managers, processing final pay, and some data entry.
  • Perform a wide variety of tasks overseeing the input of time and attendance information from the Logile system into PeopleSoft for processing.
  • Supervise and lead the accurate and timely completion of payroll journal entries and general ledger account reconciliations. Manage payroll-related questions from the accounting and finance teams.
  • Responsible for understanding the interplay of field team member compensation plans and practices, while adhering to all federal, state, and local laws.
  • Responsible for filing quarterly multi-worksite through Bureau of Labor Statistics.
  • Partner with ADP on quarterly and annual tax reporting including W-2s to ensure accurate and timely filing of monthly, quarterly, and annual returns.
  • Partner with ADP on tax agency notices and provide additional data as needed for resolution.
  • Manage payroll-related configuration tables in PeopleSoft.
  • Ensure timely updates of SUI rate changes, which are provided by a third-party, into PeopleSoft.
  • Partner with PeopleSoft IT on timely user acceptance testing of PeopleSoft tax updates for compliance and accuracy.
  • Oversee garnishment processing with ADP.
  • Responsible for creating and filing annual Form 8027 Tip Returns for all tipped locations.
  • Participate in transitioning and incorporating newly acquired locations/team members into the organization. This includes configuration of new tax locations in PeopleSoft and working with ADP on any new mapping that impacts state and local EIN changes. Provide training to new managers in payroll procedures.
  • Perform special projects and assignments, as needed.

Qualifications

  • Bachelor’s degree or equivalent work experience preferred.

  • Payroll processing experience preferred.
  • Multi-state payroll experience preferred.
  • Certified Payroll Professional (CPP) preferred.
  • Payroll tax filing experience preferred.
  • Supervisory experience managing payroll professionals preferred.
  • Strong analytical skillset along with advanced level of proficiency using Excel preferred.
  • Previous hands-on work experience with an HCM system such as PeopleSoft is preferred.
