We are looking for a Contract Specialist to maintain large scale, complex, multi-million-dollar contracts, as well as oversight of scope and schedule related to academic programs, contracts and grants. The Contract Specialist stays abreast of current policy in order to answer questions related to associated work as needed. This position will be full-time and hybrid.
What You'll Do
Defines and monitors contract performance metrics to ensure contracts are developed and executed on schedule, vendor meetings and deliverables occur in accordance to agreed upon timeframes, and invoices are received and processed in a timely manner
Monitors contracts and initiate appropriate action with business owners to ensure amendment procedures or new procurement procedures are launched prior to ending dates
Collaborates with Senior Program Management Specialists to review risks in Master Project Plan in relationship to executed contracts
Facilitates contract execution with contractors, including scheduling and deliverable submissions and interaction with contract and Master Project Plan
Manages scope of work development for mid-level to multi-million dollar projects with collaboration from team members and follows protocol for establishing as yellow sheets, grants or formal contracts
Manages contract executions and amendments according to defined internal schedules and following state procurement guidance
Manages invoice review process related to contracts to ensure alignment to budgets or billing schedules prior to payment
Leads and attends applicable vendor calls to note upcoming work and any potential deviations from approved contract terms
Assists with the day-to-day aspects of the client's programs.
Communicates clearly and efficiently with staff members
Works cooperatively and collaboratively with contractors and client staff members
Assists management as needed
Adheres to local, state, and federal laws and policies
What You'll Need
Required:
Bachelor’s degree in business, public administration, business management, or related field
3 years contract management experience required
3 years contract management experience required
Ability to work as part of a team
Strong interpersonal and communication skills
Experience working in and with schools
Strong attention to detail
Proficient in Microsoft Office and Google Drive software, specifically Word, Excel
Ability to maintain detailed records and files
Three years of experience in drafting contracts scopes of work.
Three years of successfully managing vendor deliverables to include reviewing/approving invoices
Effective communication skills
Experience in managing the project development process
Establish and manage project budgets with an understanding of all financial implications/issues
Preferred:
Experience working in a professional setting as a contract specialist overseeing scope & schedule related to academic programs
Physical Demands
Ability to safely and successfully perform the essential job functions consistent with the ADA and other federal, state and local standards
Sedentary work that involves sitting or remaining stationary most of the time with occasional need to move around the office to attend meetings, etc.
Ability to conduct repetitive tasks on a computer, utilizing a mouse, keyboard, and monitor
