Executive Assistant Job Description:
- The Executive Assistant duties and responsibilities are to ensure the CEO needs are met in a timely and confidential manner. She/he will be responsible for performing a variety of administrative duties. The ideal candidate is highly self-motivated, professional, detailed, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. An ideal candidate will have 3-5 years of experience in a small to medium sized company. This position will report directly to the CEO.
Executive Assistant Essential Duties:
- Maintain CEO’s appointment schedules by planning and scheduling meetings, conference, and travel.
- Arrange corporate events (internal and external) in their entireties (finding venues, budgeting, finding vendors, creating schedules, etc.)
- Coordinate all travel arrangements, preparing itineraries and planning logistics.
- Maintain an extremely organized filing system of paper and electronic documents
- Coordinate executive communications, including taking calls, responding to emails, and interfacing the customers.
- Attend, register, and prepare for tradeshows and conferences.
- Perform light bookkeeping activities.
- Attend networking events during and after business hours.
Executive Assistant Requirements:
- 3-5 years of experience in a small to medium sized company
- Excellent written and verbal communication skills.
- Confidentiality is a critical role for this position.
- Excellent organizational skills.
- Competency in Microsoft applications.
- Excellent time management skills.
- Ability to be resourceful and proactive when issues arise.
- Ability to multi-task in a fast-paced environment.
- Proficiency in collaboration.
- Very strong attention to detail.
- Exceptional interpersonal skills and ability to build relationships.
- Bachelor degree preferred.
