Executive Assistant Job Description:


  • The Executive Assistant duties and responsibilities are to ensure the CEO needs are met in a timely and confidential manner. She/he will be responsible for performing a variety of administrative duties. The ideal candidate is highly self-motivated, professional, detailed, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment. An ideal candidate will have 3-5 years of experience in a small to medium sized company. This position will report directly to the CEO.


Executive Assistant Essential Duties:


  • Maintain CEO’s appointment schedules by planning and scheduling meetings, conference, and travel.
  • Arrange corporate events (internal and external) in their entireties (finding venues, budgeting, finding vendors, creating schedules, etc.)
  • Coordinate all travel arrangements, preparing itineraries and planning logistics.
  • Maintain an extremely organized filing system of paper and electronic documents
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing the customers.
  • Attend, register, and prepare for tradeshows and conferences.
  • Perform light bookkeeping activities.
  • Attend networking events during and after business hours.


Executive Assistant Requirements:


  • 3-5 years of experience in a small to medium sized company
  • Excellent written and verbal communication skills.
  • Confidentiality is a critical role for this position.
  • Excellent organizational skills.
  • Competency in Microsoft applications.
  • Excellent time management skills.
  • Ability to be resourceful and proactive when issues arise.
  • Ability to multi-task in a fast-paced environment.
  • Proficiency in collaboration.
  • Very strong attention to detail.
  • Exceptional interpersonal skills and ability to build relationships.
  • Bachelor degree preferred.
