HOW AN ADMINISTRATIVE ASSISTANT II WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily

  • Completing transactional duties with special attention to detail, being organized, and multi-tasking

  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant II, your day-to-day responsibilities will include:

  • The Administrative Assistant (AA) shall, under Sponsor direction, provide administrative support services to assist in meeting the mission requirements of customers throughout the Sponsor's organization

  • The Administrative Assistant (AA) will be required to interact extensively, both verbally and written, with mission partner customers and the Office to which they belong

  • The AA will be required to work independently as a member of a larger team performing both transactional work and work that requires critical thinking skills

  • The AA will be required to provide superior customer service by understanding customer requests/issues. Duties include processing emails and faxes, transferring files in a shared folder, and database entry

  • The Administrative Assistant (AA) should have intermediate proficiency with Microsoft Outlook as it is the primary means of correspondence with customers

  • The AA should have intermediate knowledge of Microsoft Office, Excel, and SharePoint and other Sponsor databases as needed

  • These may include the Sponsor Security Clearance database and Sponsor electronic document management. Specialized and OJT training will be provided upon arrival for Sponsor specific systems

  • The Administrative Assistant (AA) will coordinate with appropriate personnel to complete onboard/off-boarding processes

  • General duties may include office specific training if needed

  • The AA will use discretion in regard to customer information and protect against any unauthorized release of customer information or data, employing the "need to know" principle

  • The Administrative Assistant shall ensure daily assignments are completed

  • The duties will include managing incoming crossover emails and faxes; sorting and scanning, checking sponsor security clearance systems for reciprocity, learning, understanding and utilizing the crossover criteria, entering data into and completing tasks within the systems, and contacting chief security officers at the end of the day, via email or phone call, with results from the day and any follow up actions that are needed

  • The Administrative Assistant shall follow Organization policies for records management

  • The position does not require correspondence / records management for leadership

  • The Administrative Assistant shall attend scheduled meetings with the customer and any other meetings as needed

  • Preparation/presenting of content may be required specific to the functions of the position.

  • Work will be conducted in a standard office environmnent with no strenuous physical requirements

  • The position is located in Chantilly, VA., and travel to/from other buildings is not expected

  • The AA is not expected to manage visitors or be a vault custodian

WHAT YOU'LL NEED TO SUCCEED:

  • The position requires an active Top Secret/SCI with Polygraph clearance

  • The position requires High School Diploma and two (2) years of relevant experience or equivalent combination of education and experience

  • The core hours are between 9:00am and 3:00pm

  • Proficient Word, Excel, Outlook, PowerPoint

  • The position is on customer site

The likely hourly rate for this position is between $23.80 - $32.20. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
