Job Description:

Supervise and assist with all mail handling for the college, as Post Master of Contract Station #43 by ensuring quality collection, sorting, and distribution of incoming and outgoing mail. Maintain all daily and monthly reporting of USPS postage expenditures for outgoing mail processed, Stamps, MVA bus passes, department postage used reporting and deposits. Determine the most cost-effective ways to process mail. Advise customers regarding USPS and campus post office policies and regulations, including shipping and tracking options.

Essential Job Functions:

50 % A. Provide an efficient, prompt, service-oriented mail service for the College campus. Manage/supervise distribution of incoming and outgoing mail and packages to students, faculty, and staff using locker system and tracking software, spreadsheets, routing, and other organized methods. Provide assistance to the customers in complying with federal regulations of Postal Service and other federal agencies. Check mail to ensure correct postage and that packages and letters are in proper condition for mailing. Verify shipping documentation.

20 % B. Supervise/oversee campus post office staff and student employees and their time records. Develop a competent, productive and effective departmental staff by providing instruction regarding federal postal regulations and the use of postage machines, assigning duties, scheduling student workers, setting priorities, supervising directly and through delegation mail room operations, enforcing the College and department policies and providing performance feedback, as appropriate.

10 % C. Maintain consigned stamp inventory from USPS. Prepare monthly report of USPS postage expenditures. Monitor postage accounts, USPS postal fees and USPS postal regulations. Maintain cash drawers, and record and balance daily transactions. Maintain financial or account records and submit monthly usage reports. Initiate payment of service contracts, place service calls, and procure supplies and services as necessary.

10 % D. Promote a professional, service-oriented mail service operation by answering inquiries concerning campus and United States mail services and regulations, explaining rates, special types, classes of mail, and packaging requirements, and advising mail service patrons on the most appropriate category and class of mail to meet their needs. Manage the post office service counter by identifying and supplying the campus community’s main needs for stamps, postal products, and packaging materials.

5 % E. Manage/supervise internal communication with students, staff, and faculty regarding mailing procedures, mail and package inquiries, and mail changes. Respond to complaints regarding mail theft, delivery problems, and lost or damaged mail, filling out forms and making appropriate referrals for investigation. Coordinate messaging with residential life for fall arrivals and determine interim policies and procedures.

5 % F. Ensure a smooth mail service operation by developing and/or revising and implementing policies and procedures to improve the quality and efficiency of mail services and establishing guidelines for enhancing customer service. Participate in the development of department goals and objectives, and suggest updates and enhancements to the division’s website.

Education:

Required: High School Diploma or Equivalency Certificate

Professional Experience:

Required: 1 year of cash handling and customer service experience.
