Job Title: Client Trust Accounting Clerk

Department: Financial Services

Reports To: Accounts Manager

FLSA Status: Non-exempt

Essential Duties and Responsibilities include the following. Other duties may be assigned:

Process all requests for all expenditures of client funds in accordance with HOH policies and procedures.

Documents funds received or disbursed and updates records. Works with Accounts

Receivable clerk to ensure that funds are deposited timely and trust account balances are

accurate.

Prepare monthly financial reports for program managers, parents/guardians and case managers.

Maintain copies of essential client documents to support financial spending goals and

directives. Receive and review signed, approved authorization from program staff and process

for payment on Wednesday and Friday of each week. Notify appropriate supervisors of

missing or incomplete documentation.

Monitor account balances for excess or negative amounts that need attention from the

Program manager. Track recurring or monthly payments to ensure that all amounts owed are

paid in full.

Works with regulatory agencies, including DDSD, Social Security, Title IXX and financial

auditors, as necessary.

Education and/or Experience

High school diploma or general education degree (GED); or one to three months related

experience and/or training; or equivalent combination of education and experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

Mathematical Skills

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning Ability

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills

To perform this job successfully, an individual should have knowledge of Accounting software; Database software; Human Resource systems; Internet software; Payroll systems; Spreadsheet software and Word Processing software.
