The Documentation Specialist is responsible for coordinating and supporting change control activities to ensure all documented information is properly managed in support of the organization’s Quality Management System (QMS). This role focuses on creating, updating, controlling, and maintaining quality documentation, both electronically and physically, while tracking metrics to ensure timely and effective implementation of changes.

This position reports directly to the Quality Manager.


Key Responsibilities

  • Assist in creating and updating procedures, work instructions, and forms in collaboration with document owners and in accordance with defined standards
  • Coordinate and complete change control activities, including updates to pFMEA, control plans, and material specifications
  • Perform change control coordinator duties, including review of impacted documents
  • Assess related documentation to determine whether updates or revisions are required
  • Communicate deadlines, delays, or obstacles and work with stakeholders to resolve issues
  • Ensure periodic document reviews are completed on time
  • Track, analyze, and report change control and documentation metrics
  • Maintain physical and electronic document storage systems and ensure proper record retention
  • Support quality system compliance requirements, including applicable industry standards (e.g., IATF / ISO)
  • Provide general support to the Quality department, including testing activities, MSAs, internal audits, monthly reporting, and documentation of customer returns
  • Perform other duties as assigned by the supervisor
  • Demonstrate flexibility in work hours and shifts to support cross-shift operations
  • Occasional travel (less than 10%)

Qualifications

Minimum Requirements

  • Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.)
  • Strong technical writing skills with solid grammar and attention to detail
  • Ability to organize, prioritize, and manage multiple tasks simultaneously
  • Strong verbal and written communication skills
  • Ability to work effectively across all levels of the organization
  • Demonstrated problem-solving and analytical skills, including metrics improvement
  • Ability to work independently and meet objectives, timelines, and performance metrics
  • Ability to read, interpret, and apply procedural and technical documentation
  • Willingness to work overtime, weekends, and varied shifts as business needs require

Preferred Qualifications

  • Familiarity with ISO or other quality management system requirements

Physical Requirements

  • Ability to stand, sit, and/or walk on hard surfaces for up to 8 hours per day, occasionally up to 12 hours
  • Ability to bend, stoop, and reach as required
  • Frequent lifting up to 25 pounds
    • Regularly lift up to 10 pounds (not above shoulder height)
    • Occasional lifting of 50 pounds or more
