ESSENTIAL FUNCTIONS ACCOUNTS PAYABLE * Support the accounts payable team by routing incoming invoices through the approval workflow to ensure proper approval.
* Enter invoices into Costpoint, prepare voucher cover page, verify coding accuracy and compile and submit vouchers for approval
* Participate in issuing payments to vendors and employees
* Reconcile corporate credit card expense reports, ensuring receipt amounts are accurately recorded
* Issue and track travel authorizations and reconcile prepaid travel expenses
* General accounting reconciliations and discrepancy resolutions
ACCOUNTS RECEIVABLE & BILLING (Support & Backup Role) * Review and prepare project-based invoices, ensuring billing data is accurate and complete.
* Verify proper coding to expenses charged through the billing process
* Resolve billing issues, such as discrepancies or disputes, through communication with clients and stakeholders.
* Process daily cash receipts and make banking deposits as needed
* Monitor and follow up on outstanding invoices to ensure timely client payments.
* Respond to client, vendor, and employee inquiries with exceptional customer service
* Maintain accurate and complete billing records and reports.
* Assist with other accounting and finance functions as needed
QUALIFICATIONS * Degree in related field or 4 years related experience
* 2 years accounting office experience
* Experience with Costpoint strongly preferred
* Strong analytical, problem solving skills and meticulous attention to detail
* Working knowledge of Adobe Pro, Microsoft Outlook, and Excel
* Extensive attention to detail and organization in physical and digital environments
* Ability to handle a fast-paced environment and often changing priorities
* Strong commitment to see a task through to completion
* Excellent verbal and written communication skills
* Customer service driven attitude
