**Essential Functions:**
**Coordinate:**
* Coordinates/oversees daily operations of the Department
* Coordinates annual performance review
* Assists in the preparation, submitting, and receipt of EXCEL Feedback Forms
* Coordinates applicant interviews, employee health screens and New Employee Orientation (NEO) schedules as needed
* Coordinates and distributes Radiology badges
* Coordinates and invoices transcription services
**Clerical**:
* Answers telephone calls and responds to emails in a polite, professional manner
* Responsible for receiving and sorting all departmental mail
* Schedules appointments/meetings and maintains calendar for Director and other Department Staff members, as required
* Arranges catering services
**Time & Attendance/Scheduling:**
* Review, verify, edit and maintain time & attendance database (i.e. API) for Department and notifies Director of completion/pending approval
* Serves as “back-up” approver
* Prepares and submits Wage Adjustment Form as needed
**Reporting/Recordkeeping:**
* Accurately compiles and maintains financial, budget, staffing, and employee data/information/records for the Department
* Maintains record of all expenditures
* Maintains Departmental Scorecard
* Generates API Time & Attendance system reports as required/requested
* Assists in accurate documentation of finances in QuickBooks for Joint Venture which may include some traveling
**Communication**:
* Communicates effectively with staff, patients, family members, vendors and Management
**Liaison:**
* Serves as a liaison between Accounting and Radiology Staff regarding payroll issues
**Customer Service:**
* Assists staff, patients and family members with questions/concerns
**Education/Training:**
* Trains staff on various computer software/programs
**Budget Compliance:**
* Assists in the preparation, submission, and implementation of the Departmental budget
* Assesses and maintains supplies and equipment needs in a cost effective manner
* Completes purchase order requests while keeping within budgetary guidelines
* Completes banking transactions for Joint Venture as needed
* Pays invoices/bills in a timely manner
**Regulatory Compliance**:
* Adheres to NMHS/NMMC Policies/Procedures/Guidelines
* Complies with applicable Local/State/Federal policies/procedures/guideline/regulations/laws/statues
**Requirements:**
* Associate’s Degree in Business Administration, Office System Technology and/or related work experience; required
* Minimum of 1 year administrative, clerical, or office experience; required
* Minimum of 2 years’ office management/supervisory skills; desired
* Excellent organizational and communication (written and verbal) skills; required
* Working knowledge of computer systems and programs; required
* Proficient with all Microsoft Office based programs including Word, Excel, and Outlook; required
* Working knowledge of wireless paging systems, required
* Excellent knowledge of medical terminology; required
* Excellent interpersonal skills; required
* Effectively coordinates and organizes Department
* Organizes and prioritizes work assignments
* Must be self-motivated and convey a high degree of professionalism
* Accurately and confidentially maintain Departmental records
* Manage tasks with multiple interruptions
