Overview:

RiverWoods is currently seeking a  Full -Time Department Coordinator to join our Environmental Services team.  Under the direction of the Facilities Director, this person will work collaboratively with their team while providing support to all aspects of the RiverWoods’ community. This position will be responsible for supporting the Environmental Services Department through a variety of clerical and administrative functions.

Responsibilities:
  • Provides quality customer service with a positive attitude and commitment to teamwork while meeting the needs of residents, staff and visitors.  Supports all aspects of the RiverWoods community.
  • Provides administrative support to the Facilities Department, including word processing, filing and other duties as required.
  • Maintains a central archive of files, i.e. contracts, compliance reports, insurance binders, contacts, etc.
  • Coordinates new resident orientation/introduction to the department.
  • Organize and distribute departmental communication to residents and staff.
  • Monitors to ensure Maintenance and Housekeeping MSDS/SDS documentation is compliant, e.g. annual audit, etc.
  • Monitors to ensure compliance with regulatory life safety, emergency management documentation to include but not limited to drills, testing and inspections.
  • Inventory coordination providing reports to Finance as required.
  • Enters payroll data for hourly department staff members, including adjusting punches, awarding ETO’s, holiday pay, and providing weekly reports.
  • Attends and documents department meetings, resident committee meetings, or other meetings as required.
  • Provides assistance to the Director of Facilities with oversight of certain budget line items to include, but not limited to, vendor invoices and resident billing.
  • Tracks in house refurbishment/refresh and alteration agreement schedules, resident notification, and maintain other refurbishment/refresh alteration agreement information as needed.
Qualifications:
  • High school diploma or equivalent; associate degree or higher in a related field.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Ability to work under pressure and meet deadlines.
  • Proficient in general computer skills including the use of Microsoft Office Suite (Word, Excel, PowerPoint, Visio) and maintenance management software.
  • Knowledge of facilities operations, systems, and technologies.
  • Demonstrated experience or general working knowledge of NFPA Life/Safety regulations in a healthcare setting.
  • An equivalent combination of professional experience and education may be considered as meeting the Education/Professional requirements.
