JOB SUMMARY

The Information Technology Services (ITS) department at the University of Connecticut seeks an individual to perform general office coordination duties, facilitate workflow, and handle the processing of administrative procedures for the department. The successful candidate will be detail-oriented, organized, a self-starter, and a team player.

ITS is a large organization, comprised of multiple service areas with more than 200 dedicated professionals and students working together to deliver effective technology solutions for the UConn community. The Administrative Program Support 2 will be the primary support for all Payroll and HR transactions.

This position reports to and will be under the general supervision of the Executive Assistant to the Vice President for Information Technology and Chief Information Officer.

DUTIES AND RESPONSIBILITIES

  • Performs routine administrative functions of the office.
  • Independently composes and/or edits correspondence and reports for review and signature.
  • Coordinates and tracks payroll transactions.
  • Processes and provides administrative oversight of ITS staff searches and special payroll hiring.
  • Assists in event planning.
  • Assists with arrangements for vendor demos, project kickoffs, presentations, and training including invitations, room reservations, logistics, catering, equipment, and room setup.
  • May train, supervise, and establish work schedules of student staff, and assign work as needed.
  • Assists with travel arrangements and expense reporting.
  • Attends meetings as assigned, records notes, and distributes meeting materials.
  • Submits work orders and supply orders through the Business Office.
  • Compiles data and prepares statistical reports used to monitor or assess department activities, programs, and services or project future needs.
  • Performs other tasks as assigned by ITS leadership.

MINIMUM QUALIFICATIONS

  1. Associate s degree and 3-5 years of administrative support experience, or bachelor s degree and 2 years of administrative support experience.
  2. Excellent computer skills including experience in MS Office Suite (Word, Excel, Outlook, etc.).
  3. Professional written and oral communication skills.
  4. Demonstrated customer service skills.
  5. Demonstrated ability to research and resolve complex administrative problems efficiently, effectively, and independently.
  6. Excellent organizational and interpersonal skills and the ability to work independently as well as collaboratively.

PREFERRED QUALIFICATIONS

  1. Bachelor s degree in a related field.
  2. Experience with complex scheduling preferably in Outlook.
  3. Experience with an online travel booking/expense reporting system such as Concur.
  4. Experience with HRIS systems such as PageUP and/or CoreCT.
  5. Familiarity with recruiting, hiring, and onboarding practices.
  6. Experience with file storing and sharing platforms such as SharePoint or Microsoft OneDrive.
  7. Proficiency with video conferencing software such as Webex or Microsoft Teams.

APPOINTMENT TERMS

This is a full-time, 12-month, permanent position located on the main campus in Storrs, CT. The hiring range for this position is $51,344 to $66,747 and will be commensurate with the successful candidate's background and experience. Other rights, terms, and conditions of employment are contained in the collective bargaining agreement between the University of Connecticut and the University of Connecticut Professional Employees Association (UCPEA).
