As the Community Outreach and Event Coordination Intern you will work closely with the VRCCO marketing team to assist with event communication and coordination within the company and the community. VRCCO plans various events throughout the year including seminars, fundraisers, sponsored events, as well as community events in collaboration with Ponch's Place, our food truck pavilion. We are looking for an individual who can help manage the organization, coordination, and execution of these events. This role offers a unique opportunity to learn about event management, develop valuable skills, and contribute to the success of our events. This position will also support our community engagement initiatives and help build and maintain relationships with our staff, community members, and various local organizations.



Qualifications

  • Interest in Event Management or working towards a degree in Marketing, Public Relations, Hospitality, Communications or other related fields
  • Communication: Responsive, consistent, and effective communicator. Excellent written and verbal communication skills. Ability to learn and process information quickly.
  • Time Management: Excellent organizational and coordination skills. Self-motivated, ability to work with minimal supervision. Proficiency in various project management tools.
  • Technology: Proficiency in digital event promotion tools such as social media channels. Google Workspace experience preferred, design abilities a plus.
  • Teamwork: Ability to work collaboratively in a team environment and adapt to changing priorities.
  • Attitude: Positive attitude, eagerness to learn, and a proactive approach to problem-solving.
  • Adaptability: Flexible and open to taking on various tasks in a dynamic work environment.
  • Passion: A genuine interest in community outreach and event planning.

Responsibilities

  • Event Planning Support: Assist in the planning and coordination of events, including Ponch's Place events, fundraisers, community events, conferences, seminars, and sponsored events.
  • Logistics Coordination: Help manage event logistics such as volunteer staffing, vendor coordination, and setup/breakdown of event spaces.
  • Communication: Communicate with staff, vendors, and community members to ensure all aspects of the event are executed smoothly.
  • Administrative Tasks: Perform administrative duties including scheduling meetings, preparing documents, and maintaining event files.
  • Outreach Activities: Support the creation and distribution of promotional materials, including flyers, newsletters, and social media content.
  • On-Site Assistance: Provide on-site support during events, including overseeing setup, managing volunteers, and addressing any issues that arise.
  • Community Engagement: Act as the company representative at community events. Assist in developing and implementing outreach strategies to connect with community members and organizations.
  • Post-Event Analysis: Assist in collecting feedback, preparing event reports, and evaluating the success of events.
  • Feedback Collection: Help gather feedback from community members and participants to evaluate the effectiveness of outreach/event efforts.
